CRM vs Funnel Builder for Agencies
Choose around the missing step: capturing an inquiry, managing the relationship, or connecting both across client accounts.
Updated
This review is based on research rather than hands-on testing
Start with the job, then the category
Our recommendation: map one inquiry from arrival to a named owner and next action before choosing software. If you already capture inquiries reliably, another landing page may not address your problem. If your sales process is organized but the campaign needs a dedicated entry point, start there.
Use these three categories as buying lenses, not strict product boundaries. The official pages below show overlapping capabilities; none establishes which editor is easier or which system produces better results.
CRM: the relationship record
A CRM organizes customer information and sales work. HubSpot’s CRM page lists contacts, communication history, deals, tasks, and pipelines. For an agency, our suggested question is: can someone open an inquiry and understand its status and next action? HubSpot also lists forms and landing pages, so CRM does not mean “no lead capture.”
Funnel builder: the campaign path
Think of the funnel as the visitor’s route through an offer toward an inquiry or purchase. ClickFunnels lists funnels and landing pages, but also email, automations, appointments, and sales opportunities. Evaluate the whole proposed workflow rather than assuming a funnel product stops at form submission.
All-in-one: several jobs bundled
GoHighLevel lists CRM, funnel building, booking, email/SMS marketing, and workflow automation together. ActiveCampaign illustrates another combination: email marketing and automation, landing pages on Plus and above, and enhanced CRM add-ons. A broad feature list is a reason to investigate packaging, not proof that every function is included in every subscription.
What the vendors publish
Checked 10 October 2026. This table records selected listings, not equivalent packages. Source links follow below; recheck terms before subscribing.
| Product and features | Displayed plan structure | Trial or free entry |
|---|---|---|
| HubSpot CRM: contacts, deals, tasks, pipelines. | Free; Starter, Professional, and Enterprise upgrades priced per seat. | Free CRM has no expiration date; no credit card required. This is not a premium-plan trial. |
| ClickFunnels: funnels, landing pages, email, automations, opportunities. | Launch, Scale, Optimize, Dominate; annual view displayed. Workspace allowances: 1, 5, 10, 20 respectively. | Launch, Scale, and Optimize show free-trial buttons. Duration and renewal terms were not specified in the pricing text we read. |
| GoHighLevel: CRM, funnels, calendars, workflow automation. | Monthly Starter $97, Unlimited $297, Agency Pro $497; custom Enterprise also offered. | 14 days for the chosen tier; automatic billing unless canceled. Usage fees may apply during the trial. |
| ActiveCampaign: email marketing, automation; enhanced CRM add-ons. | Email view: Starter, Plus, Pro, Enterprise; contact selector and annual billing. Landing pages listed from Plus. | 14-day trial; no credit card needed. |
Use the table to build a shortlist, then ask each vendor to demonstrate your required steps on the proposed plan. Mark each requirement as included, paid extra, or unconfirmed. A missing answer should remain an open question rather than becoming an assumed feature or a claimed limitation.
HighLevel flags usage charges for communications and certain AI features. ActiveCampaign labels Pipelines and sales engagement as enhanced CRM add-ons. Request the configuration you need rather than treating an entry price as the total bill.
Which approach suits your agency?
These are our recommendations, not tested outcomes. Prioritize a CRM when your agency’s own prospects need clear ownership and follow-up. HubSpot’s free entry point is one candidate to evaluate against that requirement.
Prioritize funnel delivery when the immediate assignment is a campaign path and an existing relationship system can remain in place. Evaluate ClickFunnels for that scope, then demonstrate how captured details reach the person responsible.
Evaluate an all-in-one approach when you intend to operate capture, booking, and follow-up together for clients. GoHighLevel’s Starter includes three sub-accounts; Unlimited and Agency Pro list unlimited sub-accounts. Check actual client access and handover arrangements separately.
If ongoing email nurturing is the missing layer, evaluate ActiveCampaign’s email and automation offering against your existing setup. Confirm whether its CRM add-ons are needed. Choose the smallest configuration that satisfies your written requirements.
For example, imagine an agency with a working inquiry form but no consistent follow-up. Our first evaluation would be the relationship record and task assignment. If the same agency instead needs a new campaign page while its sales team already has a reliable process, we would evaluate the capture path and its handoff. Write down that distinction before comparing subscription tiers.
What to confirm before committing
- Handoff: submit a sample inquiry; check the record, owner, next task, duplicate handling, and failure notification.
- Client separation: demonstrate permissions, account ownership, and export before inviting clients.
- Full cost: confirm billing period, seats, contacts, workspaces, usage, and required add-ons in writing.
- Trial exit: verify the selected plan, cancellation deadline, renewal amount, and what happens to data afterward.
- Maintenance: assign someone to monitor forms, integrations, and follow-up rules after launch.
