All-in-One Platform or Separate Tools for a Small Agency?

One system that bundles many functions and a set of specialist tools each trade something away. This guide helps you decide which trade suits how your agency actually works.

The short answer

Our assessment: an all-in-one platform is worth evaluating when you will genuinely use several of its functions together and have someone to own the setup. Separate tools are worth evaluating when you already have one or two functions covered, or when one function matters far more than the rest. Neither is a universal winner, and this guide is not a hands-on test.

We use four vendors as examples, each read from its own official page: GoHighLevel (a bundled platform), HubSpot (a CRM with a free entry point), Typeform (forms) and MailerLite (email marketing).

What each vendor’s own page lists

Published product details as of 5 October 2026
ToolWhat the page listsPricing shape
GoHighLevelCRM and pipelines, forms, booking calendars, email and SMS marketing, workflow automation, and a website and funnel builder.Starter $97/month (3 sub-accounts), Unlimited $297/month, Agency Pro $497/month. Usage-based charges apply to some features.
HubSpotFree CRM with contacts, deals, tasks, pipeline management, reporting, ticketing and payment links.Free with no expiration date; paid CRM tiers are priced per seat.
TypeformForms with conditional logic, webhooks and integrations; a Contacts & Automations add-on.Paid plans are limited by monthly responses and seats; the add-on is extra on most plans.
MailerLiteEmail campaigns, automations, signup forms and landing pages.A free plan up to 250 subscribers; paid prices depend on subscriber count and plan limits.

This records listed capabilities, not feature parity. Matching labels such as “automation” or “forms” do not establish equal depth, reporting or integrations.

The case for one platform

GoHighLevel’s own pricing page says the platform is designed to replace multiple subscriptions, naming CRM, funnel builder, email marketing, scheduling and similar tools. That is the vendor’s statement; we have not tested it, and its page also says results and savings vary and are not promised.

The practical argument is fewer places to keep contacts in sync and one login for your team. The cost is that you depend on one vendor’s version of every function, and a broad platform needs someone to configure and maintain it.

The case for separate tools

Specialist tools let you pick the best fit for the one function that matters most. HubSpot lists its free CRM as having no expiration date and more than 2,000 marketplace integrations, and MailerLite lists a free plan, so a small stack can start with little or no entry cost. Typeform’s paid plans, by contrast, are bounded by response and seat limits.

The cost is integration work: every connection between tools is something you configure and watch. Prices also add up across vendors, and each uses a different meter, such as seats, responses or subscribers.

A decision checklist

  • List the functions you need in the next three months, not every function you might want someday.
  • Mark which ones must share data, such as a form submission that starts an email sequence.
  • Name who will own setup and fixes for each option.
  • Price the exact configuration for each option, including usage-based fees and per-seat or per-subscriber meters, rather than comparing entry prices.
  • Run the same inquiry-to-follow-up process through each option before committing.
